Configuring the appointment type

The appointment type defines how an appointment is created during the conversation. It is one of the central booking settings and determines whether the AI voice agent books an appointment directly, merely offers it or records it as a request. The right appointment type depends on your process and the campaign goal.

Available appointment types

Nexcal distinguishes several appointment types that you select in the campaign:

  • Directly booked appointment: The agent books a specific slot bindingly during the conversation.
  • Offered appointment: The agent proposes one or more time slots the contact can accept.
  • Appointment request: The wish is documented as a request and processed later.
  • Callback: Instead of a fixed appointment, a callback request is captured.
  • Static meeting link: The contact receives a fixed link for booking on their own.

Each appointment type is represented through the booking status in the call result, for example as offered, requested or booked.

Choosing the right appointment type

Base your choice on your actual process:

  1. If you want a binding appointment during the call, choose the directly booked appointment.
  2. If you want to stay flexible, the offered appointment is suitable.
  3. If a later review is needed, use the appointment request.
  4. If no suitable time is available, a callback is often the better choice.

The appointment type works together with further settings, such as the meeting duration and the available time slots.

Hinweis: The agent only offers the appointment type you have released. It does not decide on its own to book an appointment bindingly when the campaign only foresees an offer.
