Booking window
The booking window limits the period in which appointments may be offered at all. It defines how much lead time an appointment needs at minimum and how far into the future bookings can reach. Together with the meeting duration and the available time slots, it determines which slots the Nexcal Calendar calculates.
A sensibly set booking window prevents the AI voice agent from offering appointments that are too short-notice or too far away.
What the booking window controls
The booking window acts at two ends:
- Minimum lead time: How much time must lie between the conversation and the appointment? This helps avoid appointments at too short notice.
- Maximum advance booking range: How far into the future may an appointment lie? This keeps appointments plannable.
Within this frame, the Nexcal Calendar draws on the released time slots and forms the bookable slots from them.
Setting the booking window
- Determine the minimum lead time your team needs for preparation.
- Define how far in advance appointments can sensibly be planned.
- Align the booking window with the meeting duration.
- Check whether enough slots are created so that the agent can offer appointments.

Hinweis: If the booking window is too narrow, it can happen that no slots are available. The agent then offers no appointment. In that case, check the lead time, time slots and meeting duration.
Interaction with other settings
The booking window only works together with the other booking settings. If no time slots are released or the meeting duration is too long, no slots are created despite a fitting booking window. Make sure the settings work together consistently.
