Online and on-site appointments
Appointments in Nexcal can take place online or on site. The appointment format describes where the arranged conversation is held and is independent of the chosen appointment type. You define the appointment format in the booking settings of the campaign so that the AI voice agent states the correct details during the conversation.
Online appointments
An online appointment takes place over a digital connection, for example via a meeting link. This format suits advisory and sales conversations that can be held regardless of location.
- The contact does not need to travel.
- A meeting link can be provided for participation.
- The link can be stored as a static meeting link or, if enabled, sent by confirmation email.

On-site appointments
An on-site appointment takes place at a physical location, for example on your premises or at the contact. For this format, additional details are useful:
- the address or meeting point;
- enough lead time for travel;
- if applicable, a longer meeting duration.
So that the agent can state the right information, these details should be stored in the knowledge or in the booking settings.
Choosing the right appointment format
- Clarify whether your process can run regardless of location.
- Choose an online appointment for location-independent conversations.
- Choose an on-site appointment for personal meetings and store the meeting point.
- Adjust the meeting duration to the appointment format.
Hinweis: The agent only states the appointment format configured in the campaign. If a contact suggests a different format, the agent does not deviate from your rules on its own.
