Booking confirmations
A booking confirmation informs the contact about an arranged appointment, for example by email. Whether a confirmation is sent depends on the configuration of the campaign. Nexcal does not send a message automatically in every case.
This clarification matters: the AI voice agent does not promise a confirmation that is not configured. Only when a confirmation email is enabled and available is it sent.
When a confirmation is sent
- The confirmation email is enabled in the booking settings.
- The function is available in the workspace.
- A suitable email address is available for the contact.
If these requirements are not met, the appointment still takes place, but no automatic confirmation is sent. In that case, you should account for the confirmation process in your own workflow.
What a confirmation can contain
Depending on the configuration and appointment format, a confirmation can contain different details:
- the arranged time;
- the appointment format, meaning online or on site;
- a meeting link for online appointments;
- the meeting point for on-site appointments.
Hinweis: Do not phrase a promise in the script that an email with a calendar link is sent automatically if this confirmation is not enabled and available. This avoids false expectations for the contact.
Confirmation and booking status
A confirmation is distinct from the actual appointment arrangement. The booking status documents whether an appointment was offered, requested or booked. Sending a confirmation is an additional, configurable step. How the status works is described in the article understanding booking status.
