Configuring booking settings

How to configure a campaign's booking settings so the voice agent only offers the appointment options you allow.

What booking settings are for

A campaign's booking settings define which appointment options the voice agent may offer. This way, the agent only offers the options you have approved and does not promise appointments without a matching configuration.

Booking settings are mainly relevant for an appointment campaign. You can also enable them in other campaign types when an appointment or callback is a possible conversation outcome.

Requirements

Which appointment options you approve

Nexcal distinguishes several outcome types. You decide which of them are permitted:

  • Directly booked appointment: the agent books a specific appointment within the given range.
  • Offered appointment: the agent proposes a time slot that is confirmed afterwards.
  • Appointment request: the contact's request is recorded as a request.
  • Callback: instead of an appointment, a callback is noted.
  • Static meeting link: a fixed link is used as an appointment option.

What the agent does not do

The voice agent does not offer times outside the permitted options and does not promise appointments when no booking option is configured. Whether a confirmation email is sent depends on whether that option is enabled and available.

Hinweis: Before you start, check that the approved options match your calendar and capacity. After the start, the booking settings are part of the saved campaign state.

Booking status in the result

Every appointment attempt receives a traceable status, such as not offered, offered, requested, booked or failed. For more, see understanding booking status.
