Meeting duration

The meeting duration defines how long a single appointment is planned to be. It is one of the booking settings and directly affects the available time slots: from the duration and the released times, the Nexcal Calendar calculates the bookable slots.

A suitable meeting duration ensures that the AI voice agent offers realistic appointments and that no overlapping times are created.

How the meeting duration works

The meeting duration determines the length of each offered slot. A longer appointment occupies more time in the calendar accordingly and reduces the number of slots within a time window.

  • Short appointments increase the number of possible slots.
  • Longer appointments reduce the number of slots but offer more conversation time.
  • The duration should match the appointment goal and the appointment format.

How concrete slots are formed from duration and time windows is described in the article available time slots.

Choosing the right duration

  1. Consider how much time an appointment actually needs.
  2. Take into account whether the appointment takes place online or on site.
  3. For on-site appointments, plan additional time if needed.
  4. Check whether the chosen duration produces enough slots in the booking window.

The appointment format influences the sensible duration. Details are available in online and on-site appointments.

Hinweis: The meeting duration is a fixed rule per campaign. The agent does not extend or shorten appointments on its own but only offers slots in the configured length.

Meeting duration and campaign start

Like the other booking settings, the meeting duration is saved at campaign start as part of the versioned campaign state. After the start it can no longer be changed the way it can in a draft. Set the duration deliberately before you start.
