Avoiding double bookings

A double booking occurs when the same time is assigned more than once. The Nexcal Calendar prevents this by holding back appointments that are already taken and not offering them again. In addition, you can further reduce the risk through a careful configuration.

How Nexcal avoids double bookings

  • Slots that are already booked are removed from the available time slots.
  • The Nexcal Calendar calculates the bookable slots from the current booking status.
  • The AI voice agent only offers slots that are free at the time of the conversation.

Scheduling therefore stays consistent, even when several conversations are held in parallel.

What to watch for in addition

  1. Keep the available time slots current and realistic.
  2. Choose a meeting duration that leaves enough buffer between appointments.
  3. For on-site appointments, account for time for travel and preparation.
  4. Avoid overlapping time slots in the configuration.

Hinweis: As long as no external calendar connection is active, the Nexcal Calendar only knows the appointments booked in Nexcal. Appointments arranged outside of Nexcal are unknown to it. Maintain parallel calendars carefully for this reason.

Accounting for external appointments

If you also arrange appointments outside of Nexcal, overlaps can occur without an active calendar connection. A connection to external calendars is planned. Until then, you should account for external appointments manually so that no time is assigned twice.
